Budget and Operations Analyst

A cross-functional role supporting HVAC equipment selection, project operations, budgeting, and finance.

We are a growing HVAC manufacturer representative company for Massachusetts, New Hampshire, and Rhode Island. We are looking for an independent self-starter with a strong work ethic and a strong background in HVAC sales.

Responsibilities

  • Review mechanical plans and specifications for HVAC equipment selections, ensuring compliance with project requirements.
  • Prepare and issue mechanical quotations, along with submittal documents, for procurement and project approval.
  • Process purchase orders, track order statuses, and ensure timely delivery of materials and equipment.
  • Assist with invoice payables and receivables, ensuring accuracy and timely processing of financial transactions.
  • Collaborate with managers and staff across the organization to support budget development.
  • Utilize spreadsheets and other tools to assist in budget reconciliation.
  • Provide training and guidance on budget processes and best practices to staff and management.
  • Manage interim budget reviews and analyses, adjusting budgets as needed to reflect organizational changes through the fiscal year.
  • Examine budget estimates for completeness, accuracy, and conformance with procedures and regulations.
  • Monitor organizational spending to ensure compliance with approved budgets and identify areas for cost-saving opportunities.
  • Support general accounting and finance functions, including preparing financial statements, reconciliations, ledger entries, and ad hoc reports.
  • Assist in year-end closing procedures and support audit processes by ensuring financial data is accurate and complete.
  • Contribute to vendor contract reviews and assist with the authorization and review of financial transactions.

Qualifications

  • Excellent customer service, sales, and communication skills.
  • Ability to read and understand mechanical specifications, prints, and electrical diagrams.
  • Strong attention to detail; organized and detail-oriented.
  • Proficient in Microsoft Office and CRM software to create documents that support sales efforts.
  • Able to work and learn independently.
  • Master’s degree, or foreign equivalent, in Economics, Accounting, Statistics, Economic Development, or a related field.
